Group: a minimum of 10 paid rooms or more, unless otherwise specified in Group Promotions or the Social Stays that Pay social group program.
Social Groups: Inclusive Collection defines Social Groups as weddings, families, friends, and
social gatherings. A group traveling with any purpose associated with a business / organization
will result in the cancellation of the Social Group contract. The group will be considered a MICE
group and will be referred to the MICE department.
Meetings & Incentives Groups: Inclusive Collection defines Meetings & Incentives Groups
(Meetings, Incentives, Corporate, Events) as groups traveling with any purpose associated with
a business, even if event space is not required. This includes, but is not limited to the following:
meetings, incentive or leisure business travel, conventions or events. Social groups programs
are not permissible to be used by Meetings & Incentives groups. Inclusive Collection offers
programs applicable to meeting planners to be utilized for Meetings & Incentives groups, full
terms and conditions can be found on our website.
Room Block: the total number of room nights booked for the entire group, calculated as
number of rooms multiplied by number of nights. For example, 15 rooms staying 4 nights = 15 x
4 = 60 room nights.

- Tier 1: 205 rooms or less
- Tier 2: 206 – 349 rooms
- Tier 3: 350 – 549 rooms
- Tier 4: 550 rooms or more
- One (1) complimentary room for every 15 rooms paid (16th room complimentary),
based on double occupancy, daily basis, and applies to the lowest total value rooms
with a maximum of 3 complimentary rooms per group - One (1) complimentary upgrade for every block of 15 rooms paid, with a maximum of 2
upgrades per group. The upgrade applies to the lowest room category booked and for
the group’s average length of stay. Upgrades are subject to availability and may be
limited to specific room categories and exclude certain suite types - Resort coupons, if applicable, as specified in the EBB or Promotion in place at time of
contract, unless otherwise indicated - Private check-in and welcome cocktail that must be coordinated with the resort’s Group
Sales contact at least 30 days prior to arrival
Policies & Procedures:
- A signed group contract will be required
- Deposits are required according to group size as outlined under the payment policies below
- The resort’s Group Sales contact will issue a booking form or group contract stating
payment schedule, complimentary rooms, amenities, and attrition and cancellation policies - A maximum of 30% of the group’s total reservations are permitted to be single
occupancy. If single occupancy rooms surpass 30%, those rooms will be considered
based on double occupancy - Group amenities will be granted per the signed group contract in place
- Three (3) nights pre/post original travel dates may be added to the group room block for
the same negotiated rate as the rest of the stay, subject to availability - Final rooming list due 45 days prior to first date of arrival.
- Occupancy reductions may be made up to 45 days prior with no penalty.
- Name changes will be accepted inside 45 days prior to arrival; no changes of any type
are allowed 7 days or less prior to arrival - Any groups requiring event services of any kind may be directed to the resort’s Group
Sales Manager and are subject to a surcharge - Full penalty will apply to any cancelled room nights above the allowable reductions
outlined by group size below for any groups that check-in during a holiday period. - For wedding groups only, a maximum of 30% of the room block will be allowed for 7
nights. The remaining 70% will only be confirmed for a maximum of 5 nights. For
example: If a wedding group needs 50 rooms, 15 will be allowed for 7 nights, and 35 will
be allowed for up to 5 nights. Anything needed outside of this will have to be requested
at the time of booking the individual reservations. - Concessions may not be available if any of the group’s travel dates cross over December
21 – January 4 of any year. This restriction is at the discretion of the hotel and may vary.
Deposit & Payment Policy:
The following deposit and payment policies will apply according to group size. Applicable group
sizes vary by Resort Tier.
1. Small (S) Groups*:
o Deposit Required: No
o Valid Group Size:
o Tier 1 Resorts: Groups up to 10% of Inventory
o Tier 2 – 4 Resorts: Groups up to 25 rooms
2. Medium (M) Groups*:
o Deposit Required: No
o Valid Group Size:
o Tier 1 Resorts: Groups 11%-15% of Inventory
o Tier 2 Resorts: Groups 26-39 rooms
o Tier 3 Resorts: Groups 26-50 rooms
o Tier 4 Resorts: Groups 26-60 rooms
Cancellation & Reduction Policy:
The following cancellation and reduction policies will apply based on the size of the group at
the time of the change. Applicable group sizes vary by Resort Tier. For multiple room category
cancellations, penalty amounts will be based on majority category of total cancelled room
nights. If no majority exists, the lowest room rate will be used.
1. Small (S) Groups:
o Tier 1 Resorts: Groups up to 10% of Inventory
o Tier 2 – Tier 4 Resorts: Groups up to 25 rooms
121 days or more prior to arrival:
o No penalty will apply for cancelled room nights
o Room nights may be added to the group at the same rates as the original room block
From 120 to 91 days prior to arrival:
o Up to 30% of the existing room block nights may be cancelled without penalty. A penalty of 10% will apply to the remainder of the cancelled room nights
o Up to 30% of the existing room block may be added to the group at the same rates as the original room block
From 90 to 61 days prior to arrival:
o Up to 20% of the existing room block nights may be cancelled without penalty. A penalty of 30% will apply to the remainder of the cancelled room nights
o Up to 20% of the existing room block may be added to the group at the same rates as the original room block
From 60 to 46 days prior to arrival:
o Up to 5% of the existing room block nights may be cancelled without penalty. A penalty of 100% will apply to the remainder of the cancelled room nights
o Up to 5% of the existing room block may be added to the group at the same rates as the original room block
From 45 days or less prior to arrival date:
o Full penalty for any cancellations or reductions of rooms, room nights, and/or passengers
2. Medium (M) Groups:
o Valid Group Size:
o Tier 1 Resorts: Groups from 11%-15% of Inventory
o Tier 2 Resorts: Groups from 26-39 rooms
o Tier 3 Resorts: Groups from 26-50 rooms
o Tier 4 Resorts: Groups from 26-60 rooms
121 days or more prior to arrival:
o No penalty will apply for cancelled room nights
o Up to 30% of the existing room block nights may be cancelled without penalty. A penalty of 20% will apply to the remainder of the cancelled room nights
o Up to 30% of the existing room block may be added to the group at the same rates as the original room block
From 90 to 61 days prior to arrival:
o Up to 20% of the existing room block nights may be cancelled without penalty. A
penalty of 40% will apply to the remainder of the cancelled room nights
o Up to 20% of the existing room block may be added to the group at the same
rates as the original room block
From 60 to 46 days prior to arrival:
o Up to 5% of the existing room block nights may be cancelled without penalty. A
penalty of 100% will apply to the remainder of the cancelled room nights
o Up to 5% of the existing room block may be added to the group at the same
rates as the original room block
From 45 days or less prior to arrival date:
o Full penalty for any cancellations or reductions of rooms, room nights, and/or
passengers
Cancellation & Reduction policy notes:
o If a group size increases or decreases enough to change the category under which it
falls, the initial change will follow the policies for the original group size. Moving
forward, the group should follow the policies according to the current group size. For
example: if a group of 35 rooms decreases to 25 rooms, the initial change must apply
policies for groups 26 to 39 rooms; however moving forward, policies for groups up to 25 rooms should apply.
o The Tour Operator is liable for any cancellation and attrition penalties. It is therefore the
responsibility of the Tour Operator to collect proper deposits in the event penalties are incurred.
o Full penalty will apply to any cancelled room nights above the allowable reductions
outlined by group size above for any groups that check-in during the following holiday period
o February 13 – February 17, 2025

Tier 2 Resort:
Original Room Block: 35 Rooms staying 3 nights = 105 room nights
Group Size: Medium, Groups 26 – 39 rooms
Group Reduction at 90 Days = 30 Room Nights
(18 Deluxe at $250.00 per night and 12 Junior Suites at $280.00 per night)
o Allowable Room Night Reduction is 20%: 105 Room Nights X 20% = 21 Room Nights
o Remaining Room Nights Penalized: 30 Room Nights – 21 Room Nights = 9 Room Nights
o Room Category of Majority Total Cancelled Room Nights is Deluxe Room: $250.00 per night
o Penalty is 40%
How to calculate penalty amount: Room Nights Penalized X Room Cost per Night X Penalty %
9 room nights X $250.00/night X 40% = 9 X 250 X .4 = $900
Total penalty amount = $900
Booking Process:
The following outlines the process for booking groups at an Inclusive Collection, part of Hyatt
Hotels and Resorts property.
All group sales are subject to stop sales by each resort. When quoting a group, a resort will
hold the original rate quoted for that group for a period of up to 21 days, as long as written
documentation of original said rate can be provided (a written quote that is dated with an
agent will qualify as acceptable documentation for this).
o For Small (S) and Medium (M) Size Groups:
o Partners connected via HBSI:
o Rates can be quoted using the best rate in the system with any valid promotion,
restrictions may apply. Tour Operator must provide a screenshot, including but not
limited to the resort, room category, rate, occupancy and date as documentation for
the valid quote period. Inventory is not guaranteed until signing.
o If Tour Operator proceeds with booking the group, contract must be requested from
resort.
Without HBSI:
o Bookings can be made from the partner’s available inventory. If the contracted
inventory is not available or not enough rooms are left in the partner’s inventory,
the partner must submit an above allotment request to the Resort. The Resort’s
group department will confirm or deny based on availability.
